  • Before : when travelers booked a trip from an approved request, they were directed to trip results in new Concur Travel.
  • Now: travelers are first directed to the Trip Planning page in new Concur Travel, where they can review and adjust trip details.

If the trip contains an air booking, the cabin class specified in the request is applied on the Trip Planning page and used as the default cabin option for the flight search. If the request does not specify a cabin class, or if the cabin class from the request cannot be matched to the available cabin class options in Trip Planning page, the default cabin option on the Trip Planning page is Any cabin.

Matching may not be possible, for example, if:

  • The customer uses a custom cabin class in request, and the selected value does not correspond to a supported cabin class on the Trip Planning page.
  • The traveler selects a cabin class in their request that is not allowed to be booked in new Concur Travel (for example, the cabin class selected in the request is First, but new Concur Travel policy only permits Premium or Economy).
  • No cabin-class value is provided in the request.

Individual Enrollment into a Virtual Card Program
  • Card administrators can now enroll individual employees into a virtual card program.

  • Card Admin can modify an existing virtual card program to add or remove individually enrolled employees

  • To protect data integrity and avoid duplicate enrollments across programs, the system enforces the following rules:

    • An employee can be enrolled in only one virtual card program at a time.

    • If an expense group is already enrolled in a program, its employees cannot be individually enrolled in a different program.

    • If an employee is individually enrolled and their expense group is later enrolled in another program, the employee remains in their original program. Individual enrollment takes precedence over group enrollment.

    • An expense group will not be eligible for nrolment if all of its employees are already Enrolled in different programs.

  • Vehicles that a user has booked in the past are prioritized and are surfaced more prominently during new booking flows. This improvement helps ensure recommended cars better match the user's preferences and past usage patterns. 

  • Recommendations are based first on the user's booking history for a matching itinerary, then by car booking parameters (car type, rental company etc.). Travel policy is applied to all suggested options.

Southwest Airlines Advance Seat Selection
  • Travelers will have the option to select seats prior to departure if their purchased fare is eligible for advanced seat selection. 

  • Concur Travel will introduce support for a preview seat map and advanced seat selection with Southwest Airlines based on the selected fare via Sabre or Amadeus EDIFACT 

The ability to make an advanced seat selection on Review and Book page is determined by the Southwest Airlines fare product purchased: 

Basic: All seats will be displayed for a fee but are not currently available for selection. 

Choice: Standard seats are available at no additional cost; premium seats are displayed for a fee but cannot currently be selected. 

Choice Preferred: Both standard and preferred seats are available at no additional cost; premium seats are displayed for a fee but are not currently available for selection. 

Choice Extra: All seats are available at no additional cost. 

 

 

Virtual Payments for Air and Virtual Payments Administration
  • Virtual Payments (Conferma) for flights sourced via the Air Connectors and Travelfusion, allowing administrators to configure payment rules and simplifying the payment process for travelers. 

  • Book and pay for flights through Virtual Payment cards, instead of having to use other forms of payment such as centrally-billed Corporate Ghost Cards or personal credit cards. 

  • Administrators will have ability to configure Virtual Payment (Conferma accounts) and payment rules for travelers to purchase these flights. Concur Travel is introducing new administration methods for configuring forms of payment, payment controls, and rules for business logic.

Trips Can Be Booked from Quick Requests with Approve then Book
  • When Concur Request is integrated with new Concur Travel, and the Approve then Book process flow is used, travelers can book a trip from a quick request when the quick request status is Approved - Pending Booking. 

  • Expands the ability to book trips from Concur Request to quick requests. 

End-User Experience 

With this update: 

  • If Request Assistant is enabled for a quick request, Request Assistant automatically provides the data required to direct the traveler to their trip results page. 

  • If Request Assistant is not enabled for a quick request, the traveler must provide the following information in the Request Header to ensure the quick request has the required data for directing the traveler to their trip results page: departure city, main destination, start date, and end date. Without this data, a trip cannot be booked from the quick request. 

Trips Can Be Booked Directly from Approved Requests
  • Concur Request and new Concur Travel, but not integrated, travelers can book their trip directly from their approved request, including quick requests.

Request Assistant Can Use Custom Segments for Request Cost Estimates
  • Currently, request cost estimates are only available for the predefined segments Air, Train, Car Rental, and Hotel. 

  • For example, if the predefined segment, Air, is not currently assigned to the request policy, but a custom segment, International Air, is assigned to the selected request policy and the custom segment is assigned the default Air Ticket segment type supported by Request Assistant, instead of displaying the predefined Flight travel service check box, the International Air travel service check box is displayed on the request. When the International Air travel service check box is selected, Request Assistant generates request cost estimates for Air. 

  • Request Assistant only uses custom segments if the predefined segment associated with the same default segment type as the custom segment is not currently assigned to the selected request policy. If the predefined segment is assigned to the selected request policy, the predefined segment are used for cost estimates. Custom segments assigned to the same default segment type are not used for cost estimates. 

  • If the selected request policy has multiple custom segments assigned to the same default segment type, Request Assistant uses the first custom segment in the segment list to generate cost estimates. 

  • When multiple custom segments with the same default segment type are assigned to the selected request policy, after the request is created, the custom segment can be changed on the request, if needed. 

 End-User Experience 

When Request Assistant is enabled for a request, a travel service check box for a custom segment can be displayed in the Select the services to estimatebsection of the request if all of the following is true: 

  • The selected request policy has a custom segment assigned to the policy. 

  • The custom segment is assigned to a default segment type. 

  • The predefined segment associated with the same default segment type is not currently assigned to the selected request policy. 

To generate cost estimates for the custom segment, select the travel service check box for the custom segment before generating cost estimates.

Audit Rules - Reevaluation of Report Submit and Entry Submit Audit Rules on Save

End-User Experience: 

The audit rules messages that are displayed when you submit a report are cleared, if they are resolved on saving the report header, entry, or allocation.

  • No need to submit the report again to check if errors have been resolved.

The audit rules will be reevaluated on submitting the report again.

If the audit rules conditions are true, the expense report will be blocked from being submitted and a message will be displayed.

Admin Experience: 

For Report Submit and Entry Submit events, the exception messages that are displayed on submitting a report are cleared on saving, if the errors were resolved.

ExpenseIt – Inside of a Report

End-User Experience

For end-users with ExpenseIt, the Add Expense button in the Report Details page inside of a report displays a new drop-down menu with three options :

  • Use the Upload Receipts button to add one or more receipts at the same time. 

  • ExpenseIt processes all the selected images and creates a new expense within the report.

Restrictions: 

  • New ExpenseIt expenses may be auto matched to existing entries in the same report, in which case, the receipt image and any missing details will be added to the matched entry instead of creating a new expense.
  • ExpenseIt will only run on receipts uploaded via the Upload Receipts option in the Add Expense drop-down. ExpenseIt will not process images uploaded from the Available Receipts section, dragged and dropped to an existing entry, or uploaded to the receipt section of an existing entry.
  • ExpenseIt will convert all uploaded images to an expense. If a user wishes to upload a non-receipt supporting document without converting to an expense, the image must be uploaded directly to Available Receipts or appended to an existing entry.

  • The new Upload Receipts option will not be shown on Company Bill Statement (CBS) reports and reports that don't allow receipts.

Merchant Tax ID Extracted from ExpenseIt Processed Receipts – Portugal

Automatic extraction of the Merchant Tax ID from receipts processed by ExpenseIt for clients in Portugal.

End-User Experience

When users upload a Portuguese receipt, ExpenseIt extracts the 9-character Merchant Tax ID (NIF/NIPC) and adds it to the expense data. Users can manually add or edit this value if needed

Administrator Experience

To display the Merchant Tax ID field in an expense form, administrators must configure the Forms and Fields settings in Concur Expense.

Mileage Service - Updated Configurable Mileage Calculator - Now Available for Automatic Rates

End-User Experience

End users with automatic mileage rates will see either the Mileage Calculator link, the Mileage Calculator link with an asterisk, or no link at all on the expense page.

  • If the Mileage Calculator link is present, users can click the link to calculate mileage distance using integrated Google Maps.
  • If no link is present, users can manually enter mileage details on their expense claims using the From Location, To Location, and Distance fields.
  • If the link is present with an asterisk, the Mileage Calculator pop-up will appear by default when creating an expense claim, and the From Location and To Location fields will be disabled, making it mandatory for users to use the Mileage Calculator.

Administrator Experience

To configure the Mileage Calculator for automatic mileage rates, navigate to Expense > Administration > Expense > Mileage Configuration. In the Rates drop-down, select Automatic Rates. Then, in the Mileage Calculator drop-down, select one of the following options:

  • Yes: Select this option if you want to allow users to choose between using the Mileage Calculator link or entering mileage expenses manually.
  • No: Select this option if you want users to enter mileage details manually.
  • Required: Choose this option if you want to make it mandatory for users to use the Mileage Calculator link.
Travel Allowance Service - Swedish Statutory Rate Bundle: New Trip Type Added for Trips ≤ 50 km

To comply with Swedish tax regulations, travelers are not entitled to a travel allowance if their trip destination is less than 50 km from their usual place of business. To support this requirement, a new trip type, Trip <= 50 km, has been added to the statutory rate bundle for Sweden.

End-User Experience

Some companies provide travel allowances to employees for trips less than 50 km from their usual place of business. However, if the allowance exceeds the tax-free rate, the difference is subject to income tax.

To ensure compliance with Swedish tax regulations, the new Trip <= 50 km trip type has been added to the statutory rate bundle for Sweden, with a tax-free rate set at 0.00 EUR. Employees will now see Trip <= 50 km as an option when submitting travel expense claims.

Clients who do not require the Trip <= 50 km trip type can deactivate it in their configuration settings by following these steps:

  1. Go to Travel Allowance Configuration > Configurations > Field Control.
  2. Open the Field Control for Itinerary UI tab.
  3. Select Trip Types > Add.
  4. Choose Trip <= 50 km and deactivate it.
Concur Request Integrated with Concur Travel

Approve Then Book Process Flow Now Supported in New Concur Travel

Before this update, the Approve then Book process flow was only supported when Concur Request was integrated with legacy Concur Travel.

Request Assistant

Cost Estimates for Flight Refined Using Concur Travel Data

  • When Concur Request is used in combination with new Concur Travel and Request Assistant is enabled for a request, Request Assistant now generates a cost estimate for the Flight travel service based on data from new Concur Travel.
  • The new Concur Travel data used to generate cost estimates for the Flight travel service can include frequent traveler memberships, flight availability, company policies, preferences, and negotiated rates, in addition to configured classes of service.
  • This update provides you with more accurate flight cost estimates that are based on compliant flights.
  • This update is not available when Concur Request is used in combination with legacy Concur Travel.

End-User Experience

When Concur Request is used in combination with new Concur Travel, on the Request Assistant page, the explanation of the cost estimate for the Flight travel service is updated to indicate the estimation is aligned with what is allowed and available in Concur Travel.

Real-Time Card Transaction Notifications (RTN) for Corporate Mastercard Customers
  • Feature provides real-time transaction data within Concur Expense as and when the credit card is swiped for purchase.
  • The RTN transactions are editable.
  • Reports with pending transactions cannot be submitted until these transactions are settled. Settled transactions will merge with RTNs ensuring a seamless experience and reduced manual entry for users.

    Limitations: 

  • Certain card issuers/markets do not provide sufficient data for SAP Concur to match RTNs to settled transactions.
  • Supported cards will automatically be identified and enrolled when the card admin enables the RTN feature for a given employee group. Some cards may not be enabled due to the current legal conditions of the markets that issue these cards.
  • Initial release of this feature will be limited to meal (and similar) spend only. Additional expense types will be made available as SAP Concur assesses the quality of RTN data.
  • Not all merchants support sending real-time notifications.
  • Must receive Mastercard corporate card data via CDF3.

Expense report submitters see a new label Pending Transactions on RTN expenses in the Available Expenses screen and inside the report in the Report Details screen.

  • Users can move the RTN expense to another report or to Available Expenses, edit, or delete the transactions but they cannot copy it. Copy button is disabled when the line item is selected.
  • To submit a report, user must make sure the pending transaction is either moved out of the report before they submit it, or they must wait until the transaction is settled to submit it. Settled transactions usually appear within two to seven days.
  • If the report with pending transaction is submitted, an error message pops up to advise the user from submitting the report.
  • Users can opt-out or re-enable the RTN transactions for their credit card once it has been enabled by their admin. To do :  Profile  Expense Settings >Expense Credit Cards. The Expense Credit Cards page displays. Under Corporate Cards, you can enable or disable Real-Time Notifications.

Expense User Interface - Enhancements to Dialog Box Design

All the users who had synced their American Express© Business Cards to Concur Expense had to previously authorize their cards every 90 days, but now that has been extended to 365 days. 

For cards registered or authorized prior to November 1, 2024, you can navigate to the Expense Credit Cards page > Add > Add Amex Business Card > log in and Authorize your American Express© Business Cards, availing the longer authorization period. 

No action is required by users who have synced or re-authorized their cards after this date. 

ExpenseIt

Document Classification for Email Receipt Images

Receipt images emailed to receipts@concur.com or receipts@expenseit.com, and processed by ExpenseIt are now analyzed by a new AI/ML model for document classification.

This model determines if the receipt image is converted to an expense or stored as a receipt image only. If the image can be converted to an expense, it is processed by ExpenseIt. If it cannot be converted to an expense, it is saved as a standalone image that can be accessed from Available Receipts.
 

ExpenseIt Inside of a Report

  • Used to automatically process the receipt images uploaded from the inside of a report through the report details page.

  • will be available to all customers by March 28, 2025.

End-User Experience

The Add Expense button in the Report Details page inside of a report displays a new drop-down menu with three options in it: Upload Receipts, Create New Expense, Select Available Expenses.

 

  • Use the Upload Receipts button to add one or more receipts at the same time. 

  • ExpenseIt processes all the selected images and creates a new expense within the report.

Restrictions: 

  • New ExpenseIt expenses may be auto matched to existing entries in the same report, in which case, the receipt image and any missing details will be added to the matched entry instead of creating a new expense.
  • ExpenseIt will only run on receipts uploaded via the Upload Receipts option in the Add Expense drop-down. ExpenseIt will not process images uploaded from the Available Receipts section, dragged and dropped to an existing entry, or uploaded to the receipt section of an existing entry.
  • ExpenseIt will convert all uploaded images to an expense. If a user wishes to upload a non-receipt supporting document without converting to an expense, the image must be uploaded directly to Available Receipts or appended to an existing entry.

  • The new Upload Receipts option will not be shown on Company Bill Statement (CBS) reports and reports that don't allow receipts.

Group Configurations - Custom Entry Date for Exchange Rate Date Configuration

A new Custom Entry Date option has been added to Foreign Currency Exchange Rate Basis Date in Group Configurations. This allows separate trips within a single report to have differing base dates for exchange rate calculations.

For new and existing entities and Expense Groups, the exchange rate basis continues to default to Transaction Date. For entities and Expense Groups that have previously set the exchange rate to Trip Start Date, the basis defaults to the trip start in the report header.

End-User Experience

Users see a new custom date field which indicates the exchange rate date of the given expense.

Receipt Handling – Digital Receipts

Triggering an Email Notification for Failed Digital Receipt Processing

An improved method of notifying the users when an emailed receipt fails to process is available to users. Currently, customers need to log into their profile to check if the digital receipts emailed to receipts@concur.com, receipts@expenseit.com, or receipts@eu.concursolutions.com have been processed.

However, if the receipts fail to process, users are left unaware of the reasons behind the failure. With this solution, an email notification is sent to the user for such failed receipt processing scenarios.

End-User Experience

With this update, users will receive an email notifying the failure of the receipt processing and the reason for failure.

In a scenario where the digital receipt processing failed because an attached file type is not supported, the email notification sent to the user will look as shown below.

Travel Allowance Service

Alternative Calculation for Foreign Trips (Comparison of Foreign vs. Domestic Entitlement) – Austria

When users submit travel expenses for foreign trips, SAP Concur Expense automatically calculates and applies the higher reimbursement rate (either foreign or domestic) without requiring manual selection.

For foreign trips, the system calculates the following in parallel:

  • Foreign entitlement: Standard calculation based on foreign travel rates.
  • Domestic entitlement: Calculates the foreign trip as if it were a domestic trip.

The system then applies the higher of the two rates for reimbursement.

Configuration/Feature Activation

The Alternative calculation is applied through the following calculation rules:

  • Based on time of arrival, considering foreign trip parts as domestic
    • Assigned to: Alternative calculation: Location for rate determination, foreign for rate type meals.

       

  • Used by Austria only – Rate of the last location, with reduction after 28 days
    • Assigned to: Alternative calculation: Several locations in a reimbursement interval, foreign for rate type meals.

       

  • Highest total rate amount
    • Assigned to: Alternative calculation result.

 

Support for Collective Agreement in Metal GEWERBE in Austria

Travel Allowance support is now available for companies participating in the collective agreement Metal GEWERBE in Austria. provides a best practice template for client rate bundles, tailored to meet the requirements of the Metal GEWERBE collective agreement (SAP_CONCUR_AT_TEMPLATE_METAL_GEWERBE).

Value Added Tax (VAT)

Enhanced Multi-VAT Handling in Expense Reporting

  • automates itemization for hotel receipts with multiple VAT rates in Germany.

  • Update simplifies handling receipts that combine different VAT rates in a single line item, such as a hotel stay and breakfast. 

  •  applies only to domestic expenses in Germany.

  • Ensures accurate VAT reclaims.
  • Reduces report send-backs and minimizes reimbursement delays.

  • Expense users will see a new Total Net Amount field in their expense entry.

  • ExpenseIt automatically populates this field by extracting the total net amount from German hotel receipts. Users can manually enter or modify this amount as needed.

When users itemize their expenses and submit the expense report, the system validates the Total Net Amount against the net amount calculated from itemization:

  • If the values match or the Total Net Amount field is left blank, the system makes no changes.

  • If there is a mismatch, the system automatically adjusts the parent itemization line and adds a new child expense line item. This ensures VAT amounts are accurately re-computed.

System-generated comments are added for transparency, ensuring users and processors are informed of any automatic changes. Processors can then approve the report or return it to the user for further updates.

System-generated itemizations may occasionally result in minor rounding differences due to computational precision. These small variances do not impact overall transaction accuracy.

SAP Concur is constantly evolving its products with minor adjustments to ensure stability and improve the applications.

Uber for Business Integration Enhancements

Users will have receipt information from rides with Uber and orders with Uber Eats on business profiles automatically sent to Concur to complete expense details. A copy of the applicable receipt image will also be sent. 

For Uber, receipts now include more details like consolidated transactions and tips (where applicable), and a granular breakdown of fees across transactions, taxes, refunds, and cancellations. For Uber Eats, receipts now include details like menu items and group order details, for instance specifying the users who were part of such group orders. 

New enhancements, where applicable, also include improved credit card and receipt matching, a more stable user connection, and a feature where Uber receipts will now appear in Concur in near real-time after the transaction is completed. 

Extension to Reauthorize AMEX Business Cards

All the users who had synced their American Express© Business Cards to Concur Expense had to previously authorize their cards every 90 days, but now that has been extended to 365 days. 

For cards registered or authorized prior to November 1, 2024, you can navigate to the Expense Credit Cards page > Add > Add Amex Business Card > log in and Authorize your American Express© Business Cards, availing the longer authorization period. 

No action is required by users who have synced or re-authorized their cards after this date. 

Data Access and Export Integration with SAP Concur

Customers using expense reports in Germany will have access to a new Data Access and Export service for Concur Expense. The primary goal of this service is supporting Concur Expense clients to prepare for their regular tax audits by providing essential, audit-relevant billing data. 

With this service clients can download structured expense report data from Concur in SAP’s Audit Information System file format. This service also offers a user interface to view Concur expense report data and their attached receipt images. All data access is restricted by data access profiles that can be defined by the client to restrict access to specific time periods and legal entities. 

On the user interface you will benefit from a new interface that remains consistently structured and includes contextual information, even for custom fields. This interface is available in English and German. 

Using the Data Access and Export Service, you can easily identify specific custom fields, such as cost objects or GL account numbers, facilitating the analysis of data from Concur in SAP Financials or SAP HR Payroll. Additionally, a new data extraction report in S/4HANA Public Cloud offers the necessary data for cross-system evaluation of value flows. 

End-users for this application are for example tax auditors or internal auditors. Once you have been granted access to this application, you will see a lean user interface that provides access to expense report data. This access is restricted based on the data access profiles which are assigned to your user. Standard users can only view expense report data on the user interface. 

End users who have been assigned the user role with download authorization see another functional area. In “Download Paid Expenses” you can create data extracts which are also based on the data access profiles which are assigned to your user. 

Custom Fields Search Filter

Custom lists can now be filtered by text as the user types, making it easier to find specific items and reducing the need to scroll. This feature applies to lists with fewer than 100 items, allowing users to quickly search for what they need. 

New Required Field Indicators

Employees entering their banking information and admins creating new funding accounts can see a red asterisk indicating a required field.  

In the Funding Account window, admins can see red asterisks on required fields. 

E-Bunsho Detach/Remove Receipt Change

When you manage expenses, you will see a Detach/Remove button only for e-Bunsho receipts that are a part of expense reports that are not yet submitted or are recalled or returned. 

It is only the visibility of the button that has changed. For recalled or returned entries, you still cannot remove/detach the receipt from the expense report entry. If you click the Detach/Remove button, you will be alerted with this message: You are not permitted to perform this action

Electronic Invoice Support for Germany

As of January 2025, SAP Concur supports e-invoice for Germany. 

The following two official e-invoice standards are supported: 

  • XRechnung (.xml) 

  • ZUGFeRD (.pdf with embedded XML) 

Employees can email e-invoices to receipts@concur.com

For ZUGFeRD, the PDF can be attached; for XRechnung, a visual copy (e.g., PDF, JPEG) must also be attached. The original e-invoices will be stored in the Concur Expense database, with visual files displayed for convenience and approval. 

Removal of X icon from Report Tile

The user can no longer see the X icon on the report tile in Concur Expense. 

Check Name Modification for Japan Merchant Tax ID Check

The check name Invalid Merchant Tax ID – JP is now changed to Missing Merchant Tax ID – JP

This check name was modified to clearly reflect its purpose, which is to confirm the presence of a Merchant Tax ID. There is no change to its functionality

Expense Credit Cards Profile Update

The Expense Credit Cards page is now enhanced with the following features:

  • This page will appear for all end-users regardless of the type of Credit Card connection(s) your company has enabled. This page will not be visible to administrators or delegates.
  • You will find cards that were linked via Yodlee under  Personal Cards. Corporate cards and/or American Express Business cards are under  Corporate Cards.
  • American Express Business Cards that require re-authorization will now display a Connection Status called Disconnected. You can reconnect/re-authenticate by clicking on the Actions ellipses 

The feature is automatically available; there are no additional configuration or activation steps.
